# What to set up first: onboarding checklist

Step by step: what to do and set up in your first days with Prospector so that it is ready for work right away.

Prospector offers more than 70 filters *(as of September 2026)* for finding companies, following signals and looking up contacts from public sources. Not everything needs to be set up at once, though. This checklist walks you through the most important part: what to do right at the start so that Prospector makes sense and brings results from day one.

### 1. Log in and check your access

* [ ] Go to [prospector.bizmachine.com/login](https://prospector.bizmachine.com/login) and enter your work email.
* [ ] Open your inbox and click the login link (magic link). You don't need a password.
* [ ] The login is valid for 90 days *(as of September 2026)* and works on up to 3 devices at the same time *(as of September 2026)*.

### 2. Create your first label

* [ ] In the left menu, open the **Labels** section and create a new label.
* [ ] A label is a static list of companies that you name yourself, for example "My customers", "Interesting companies" or "Leads Q1". Choose a name that makes sense to you.
* [ ] Labels can be shared with colleagues from the same organization: as a **Viewer** (sees the companies) or an **Editor** (can add and remove companies).

### 3. Upload your existing customer list

* [ ] Prepare a list of Company IDs: either as a CSV file (Company ID in the first column) or as a list that you simply copy and paste directly into the import. If you don't have the Company IDs for your companies, contact support at <support@bizmachine.com> and we will be glad to help you prepare the list.
* [ ] In the **Import / Export** section, click **New import** and upload the file.
* [ ] Prospector checks the records and marks the companies that no longer exist or have an incorrect Company ID.
* [ ] Save the verified companies to a label (for example, "Customers"). You will then use it for following signals or sharing with colleagues.

### 4. Create your first segment based on your ICP

* [ ] Ask yourself what your best customers have in common: industry, region, number of employees, revenue. That is the basis of your ICP (ideal customer profile).
* [ ] Click **Create segment** (or open the **Companies** section) and set the filters according to your ICP. More than 70 filters are available *(as of September 2026)*.
* [ ] Save the results as a named segment, which will update automatically whenever new companies that meet the criteria are added to the database.
* [ ] A segment can be shared with colleagues in the same way as a label.

### 5. Turn on notifications and follow signals

Prospector can notify you about two different things. Set up both:

* [ ] **New company notifications:** Prospector sends an email as soon as a new company matching your criteria appears in the database. You set them up directly on the saved segment (**Daily digest** or **Weekly digest**).
* [ ] **New signal notifications:** start following your label and receive notifications about important changes: new job ads, management changes, tenders or the opening of new branches.

### 6. Connect your CRM

* [ ] If you use a CRM, Prospector can be connected so that company data flows directly into your CRM, without needless copying.
* [ ] The integration method depends on the specific CRM: for some CRMs there is a direct connection, and for others an integration through Make.com, iFrame or the API.
* [ ] To set up the integration, contact support at <support@bizmachine.com>. An integration specialist will advise you on the most suitable solution.

### 7. Install Prospector Go

* [ ] Prospector Go is an extension for **Google Chrome** and **Microsoft Edge**.
* [ ] When you visit any company's website, it shows you basic information from Prospector directly in the browser, without having to switch tabs.
* [ ] From the extension you can label the company right away or open its full profile.

### How do I know I am really using Prospector?

Prospector works best as part of a regular routine. Here are the signs that it is bringing you value:

* **Every month you have a list of new companies.** A segment automatically prepares new candidates matching your ICP for you.
* **You know about important changes at your customers before they call you.** Signal notifications watch job ads, tenders or management changes for you.
* **Your team works with the same data.** Shared labels and segments make sure that sales and CS see the same thing.
* **Decision-maker contacts are close at hand.** With the **Department and role** filter you find direct contacts for specific people from public sources without searching by hand.
* **Your CRM is up to date without manual work.** Company data is transferred automatically, without copying.
