# How to exclude existing customers and avoid duplicate work

How to import your customer list into Prospector and set up an exclusion filter, so that companies already in your CRM do not appear in your results.

When you build a segment, you usually do not want to see companies you already have in your CRM. This article shows how to get your customer list into Prospector and set up a filter that removes those companies from your results automatically.

### How the exclusion filter works

You put your customers in a label (for example `Customers`), and when you create a segment, you add the **My labels (excluded)** filter. Prospector then leaves every company in that label out of your results.

You can fill the label in two ways: import a file by hand, or let a CRM integration fill it automatically.

### Manual import: customers without a CRM integration

If you do not have a direct CRM integration, import your customer list from a file.

**1. Export your customers from your CRM**

From your CRM, export the list of companies you want to keep out of your results, for example your existing customers. The file must contain the Company ID (IČO) of each company. Prospector uses it to match the companies.

**2. Import the list into Prospector**

In the left menu, open **Import / Export** and click **New import**. The **Import companies** dialog has two tabs:

* **Upload files**: upload a .csv file. The Company IDs must be in the first column.
* **Paste data**: paste the list of Company IDs directly into the text field, separated by a delimiter.

When the import is finished, you see the number of imported records.

**3. Copy the result to a label**

In the import result window, click **+ Copy to a Label** and create a new label. We recommend a name such as `Customers` or `Clients`. All imported companies are added to this label.

**4. Set up the exclusion filter**

When you create a segment, add the **My labels (excluded)** filter and select the `Customers` label. From now on, Prospector leaves your customers out of your results automatically.

Your customer base changes. Repeat the import regularly, for example once a month, to keep the label up to date. Companies already in the label stay there, and only new ones are added.

### Automatic exclusion through a CRM integration

If you have a CRM integration set up, your customers are synchronized to Prospector automatically, and you do not need to import them by hand.

#### Pipedrive

Companies you have in Pipedrive automatically get the **`In Pipedrive`** label in Prospector. Set it as an exclusion filter, and Prospector always works only with companies that you do not have in Pipedrive.

When you create a segment: the **My labels (excluded)** filter → `In Pipedrive`.

#### Raynet

The direct Raynet integration synchronizes company data in both directions. Customers from Raynet get a matching label in Prospector. The setup steps are in the Raynet documentation.

#### Other CRMs (HubSpot, Salesforce and others)

Through Make.com or the API, you can have a label assigned automatically to the companies in your CRM. Contact the BizMachine integration team and we will set it up together.

### Working as a team: avoid duplicate work

Even after you exclude your customers, two colleagues can work on the same company without knowing it. One has it in their pipeline, and the other does not know. The solution is shared labels.

**A shared label for the active pipeline**

Each colleague adds the companies they are working on to a shared label, `In pipeline`. Everyone else sets this label as an exclusion filter and skips their colleagues' companies automatically.

**Name labels**

An option for smaller teams: each colleague has a label with their name (for example `Jane K.`) and shares it with the others. Anyone who comes across the company sees at once that a colleague is working on it.

### Summary: the recommended steps

1. Export your customers from your CRM to a .csv file with the Company ID in the first column
2. Import them into Prospector as the `Customers` label
3. When you create a segment, set the **My labels (excluded)** filter → `Customers`
4. For team coordination, add the shared `In pipeline` label
5. Update the customer label regularly (or use a CRM integration)

### Frequently asked questions

#### Do I have to import my customer list again after every update?

Yes, we recommend once a month. Companies already in the label stay there, and only new ones are added.

#### I use Pipedrive. Do I have to import my customers by hand?

No. Companies from Pipedrive automatically get the `In Pipedrive` label. Set it as an exclusion filter when you create a segment.

#### Does the exclusion filter work for colleagues on my team?

Yes, if you use a shared label. Each team member sets the filter to the same label, and the companies are excluded for everyone.

#### What happens if I import the same company again?

Nothing. Prospector ignores the duplicate, and the company stays in the label once.

#### Why is Number of IDs different from Imported?

The import contained invalid Company IDs, or we could not identify them. Alternatively, the file contained duplicates. For a detailed check, click **Download import log** in the result window.
