# How to connect BizMachine in Microsoft Copilot Studio

How to create an agent with the BizMachine MCP connector in Microsoft Copilot Studio, publish it and share it with colleagues in Microsoft 365 Copilot Chat.

In this guide, you create an agent in Microsoft Copilot Studio that gets data from your BizMachine workspace through the BizMachine MCP connector, and you share it with your colleagues. The agent then works with company data from BizMachine, with your labels and with AI Prioritization.

The process has three parts:

1. You create an agent in Copilot Studio.
2. You create the BizMachine MCP connector and add it to the agent.
3. You publish the agent and share it with end users.

### What do you need?

* **Access to Microsoft Copilot Studio**: a license that allows you to publish an agent. According to [Microsoft's documentation on Copilot Studio licensing](https://learn.microsoft.com/en-us/microsoft-copilot-studio/faq-billing-licensing) (as of October 2026), this is a Microsoft 365 Copilot license, or a Copilot Studio license with assigned Copilot Credits. You need an environment with full Dataverse. Custom connectors (and so also the BizMachine MCP connector) are not supported in a Dataverse for Teams environment. For this reason, you also cannot connect BizMachine on the Copilot Studio for Teams plan, because it uses Dataverse for Teams.
* **A BizMachine account** with active access to Prospector. You sign in through OAuth, with a Microsoft or Google account. Use the same email you use in Prospector.
* **Licenses for end users**: these depend on your organization's licenses. You can find the details and a warning in Part 3, step 3.

### Part 1 - Create the agent

#### 1. Open Copilot Studio and create a new agent

Sign in to [Copilot Studio](https://copilotstudio.microsoft.com). On the **Agents** page, click **New agent**.

#### 2. Name the agent and add instructions

To change the agent's name, click the pencil icon next to its name. In this guide, the agent is called BizMachine. Users will later find it under this name in Microsoft 365 Copilot Chat.

In the **Instructions** field, write what the agent is for and how it should answer. Adapt the text to how your team will work with the agent.

### Part 2 - Create and add the BizMachine MCP connector

#### 1. Open the Add a tool dialog

In the right panel, click **+** next to the **Tools** section.

#### 2. Select the Model Context Protocol type

In the **Add a tool** dialog, click **+ Add** and select **Model Context Protocol (MCP)** from the menu.

#### 3. Fill in the server details

In the **Add MCP server** dialog, fill in:

Click **Add**.

#### 4. Create the connection

In the **Select a connection** dialog, open the **Connection** drop-down menu and choose **Create new connection**.

On the card with the connector description, you can fill in the **Display name** field (it is optional). Click **Create**.

Sign in to BizMachine with Microsoft or Google, using the same email you use to sign in to Prospector.

After you sign in successfully, a green check mark appears next to the connection. Click **Add**.

#### 5. Check the tool settings

In the **Edit tool** dialog, choose **End user account** in the **Authentication** field. This way, each user of the agent connects to their own BizMachine account, not to one shared account.

Further down, in the **Tool permissions** section, there is an **Allow all** toggle. When it is on, the agent may use all the tools of the BizMachine MCP connector. If you want to allow only some of them, turn the toggle off and turn on each tool the agent should use.

#### 6. Test the agent

On the **Preview** tab, ask a question that needs data from BizMachine, for example "find me manufacturing companies in Prague with more than 50 employees". Check that the agent called the BizMachine MCP connector tool and did not answer only from the model's general knowledge.

### Part 3 - Publish the agent and share it with users

#### 1. Add a channel

In the right panel on the **Build** tab, click **+** next to the **Channels** section.

#### 2. Select Teams + Microsoft 365

In the **Add a channel** dialog, choose **Teams + Microsoft 365**.

#### 3. Set the availability

In the **Microsoft 365 and Microsoft Teams** panel, select where the agent should be available: **Microsoft 365 Copilot and Microsoft Teams**, **Microsoft 365 Copilot only** or **Microsoft Teams only**. In this guide, we chose **Microsoft 365 Copilot only**. Choose the option based on where your users will use the agent. You cannot change this choice after publishing. Click **Add channel**.

**Always check licenses and Copilot Credits with your Microsoft 365 administrator.**

According to [Microsoft's documentation on Copilot Studio licensing](https://learn.microsoft.com/en-us/microsoft-copilot-studio/faq-billing-licensing) (as of October 2026), users with the free Microsoft 365 Copilot Chat can also use the agent. Their work with the agent, however, uses Copilot Credits, which the organization pays for. For users with a paid Microsoft 365 Copilot license, the same documentation says that their use of the agent is not charged.

Microsoft's licensing terms change over time and can differ for a specific organization depending on its contract. Treat this overview as a guide only, not as licensing advice. Before you buy or change licenses for the agent, check the current terms with your Microsoft 365 administrator or directly with Microsoft.

#### 4. Publish the agent

Before you publish the agent, you can add more capabilities to it, for example, turn on **Memory** (the agent remembers context between conversations), or add public websites in the **Knowledge** section and select **Search all websites**. With this option, the agent also uses the public web, which may not be as accurate and up to date as the data from BizMachine.

When you are happy with everything, publish the agent with the **Publish** button in the top bar.

#### 5. Share the agent with users

Before users can find and add the agent in Microsoft 365 Copilot Chat, you must share it with them. In the agent's top bar, click the Share icon (next to the **Publish** button). In the Share BizMachine dialog, add the users or groups you want to share the agent with, or the whole organization.

Tip: use the **Copy link (Microsoft 365 Copilot)** button in the dialog to copy a direct link to the agent and send it to users. When they open the link, the agent appears directly in Copilot Chat and they only need to click **Add**.

Click **Share**.

#### 6. Share the connector with users

Sharing the agent in the previous step does not automatically share the connector the agent uses in the background. Without this step, users see the error "Connector information unavailable" when they create a connection.

1. Open [make.powerapps.com](https://make.powerapps.com).
2. In the left menu, choose **Custom connectors**.
3. Next to the BizMachine MCP connector, click the three dots (...) and select **Invite another user**.
4. Enter the user, give them the **Can view** permission (that is enough) and click **Save**.

#### 7. Add the agent in Microsoft 365 Copilot Chat

Each user you shared the agent with follows steps 7 to 10.

Go to Microsoft 365 Copilot Chat. In the left panel, click **Agents**, search for BizMachine and open it. If you have a direct link to the agent (see the tip in step 5), just open it.

The agent card appears. Click **Add**.

#### 8. Write a message to the agent

A chat with the BizMachine agent opens. Write a message that needs data from BizMachine.

After you send the message, the agent shows the **Connection Required** card. Click **Set up connection**.

#### 9. Create the connection

In the connection manager, you see a list of the agent's tools. The BizMachine MCP connector has the status **Not connected**. Click **Connect**.

In the **Create or pick connections** dialog, open the menu next to the BizMachine MCP connector and choose **Create new connection** (the first time, there are no connections to choose from).

Sign in to BizMachine with Microsoft or Google, using the same email you use to sign in to Prospector.

#### 10. Everything is ready

After you sign in successfully, the status changes to **Connected**. Go back to the chat with the agent and click **Retry** on the **Connection Required** card. The agent then answers your message.

### Troubleshooting

**The agent shows the Connection Required card again, although you were connected before.** Your BizMachine sign-in has probably expired. Click **Set up connection**, find the BizMachine MCP connector in the connection manager and sign in again (**Connect** or **Manage**). Then go back to the conversation and click **Retry**.

**When creating a connection, the user sees "Connector information unavailable" and the sign-in window does not appear at all.** The connector was probably not shared with the user. See Part 3, step 6. If the problem continues after you share the connector, try assigning the user a Microsoft Power Automate Free license. Whether this helps depends on your organization's licensing plan.

**The agent works without errors, but the user never signed in anywhere, and it is not clear under whose identity the agent runs.** The connector tool probably does not have **Authentication** set to **End user account**. Check this in Part 2, step 5. Without this setting, all users work under one shared identity.

**The agent works in the Copilot Studio preview, but in Microsoft 365 Copilot Chat it ends with a general error right after it opens, before you send a message.** This is not related to the BizMachine MCP connector. It is a problem at the level of the whole tenant. Ask your Microsoft 365 administrator to check the Microsoft Information Protection API enterprise application in Entra ID. It must have "Enabled for users to sign-in" turned on.

### Frequently asked questions

**Do end users need their own Copilot Studio license?**

According to Microsoft's documentation (as of October 2026), no. Using the agent can, however, cost the organization Copilot Credits, depending on which Microsoft 365 license the users have. The terms can change, so check them with your Microsoft 365 administrator. You can find the details in Part 3, step 3.

**Why do I have to share the agent and the connector separately?**

Because in Power Platform they are two separate things. Sharing the agent controls who can find and add it in Microsoft 365 Copilot Chat. Sharing the connector controls who may create their own connection to BizMachine. If you share only the agent, the user sees the error "Connector information unavailable" when they create a connection.

**Can the agent work under someone else's identity?**

Only if **End user account** is not chosen in the **Authentication** field in the tool settings. When this option is set, each user signs in with their own BizMachine account. See Part 2, step 5.
