# How to create a segment in Prospector

Find companies that match your ideal customer, save them as a segment, share it with colleagues, and get notified when new companies match.

Prospector gives you two ways to build a segment of companies that match your ideal customer: the **Create segment** button, or browsing all companies in **Companies** and adding filters one by one. You save the result as a segment, and Prospector then automatically watches for companies that newly match your criteria.

### Where to start a segment

* With the **Create segment** button at the top of the left menu. This opens the **New segment** screen, where you choose either **Select custom filters** or one of the ready-made templates (for example **Companies Using Basic Web Security**). A template is a preset group of filters: click it and Prospector sets the filters for you. Each template's description is shown in Prospector under its name.

* With **Companies** in the left menu. This opens a list of all companies in the database. You narrow it down to your target segment by adding filters with the **Add filter** button.

Both ways lead to the same screen with filters and results. Your saved and shared segments are in **Segments**.

### How to add filters and build a segment

1. Click **Add filter** and choose a category.
2. Set the values. The results update as you go.
3. Add more filters to narrow the results.

### What you can do with the results

You can work with the list of companies in the results in several ways:

* **Browse companies:** click a company name to open its full profile directly in the list. Close it with the cross to return to where you were. The icons on each row open the same profile in a different way: one opens a quick preview in a panel on the right, the other opens the profile in a new tab.
* **Switch to Contacts or Signals:** switch the view to the contacts or signals of the companies in your results, and filter them further.
* **Columns:** decide which data the list shows.
* **Labels:** select companies, click **Labels** in the bar that appears, and choose **Add labels** to mark them with a label so you can work with them later.
* **Export:** export the list of companies.
* **Save segment:** save the segment to reuse it and get automatic updates.
* **Run AI Prioritization:** use AI to rank the companies by how well they match your use case.

### Which filters are available?

#### Basic Information

Define the size, age, and type of company.

| Filter                        | What it is for                                                                                                                |
| ----------------------------- | ----------------------------------------------------------------------------------------------------------------------------- |
| Number of employees           | Small (2-50), medium (51-500), or large (500+) companies                                                                      |
| Revenue (in Mio. CZK)         | Minimum revenue that matches the buying power your offer needs                                                                |
| Type of organisation          | Public sector, banks, insurance companies, and other types of entity                                                          |
| Legal form                    | Limited liability companies (s.r.o.), joint-stock companies (a.s.), sole traders, foreign branches, agricultural cooperatives |
| Date of company establishment | Newly founded companies, or established companies with a history                                                              |
| Headquarters address          | Region, district, or a specific town or municipality                                                                          |

Newly founded companies have little data in the database for the first 30 days after registration. For better results, filter for companies that are more than 60 to 90 days old.

#### AI Prioritization

#### Business Indicators

Focus on companies that are actually operating.

| Filter                   | What it is for                                                             |
| ------------------------ | -------------------------------------------------------------------------- |
| Activity                 | Filter out inactive companies and shell companies                          |
| Growth                   | Fast-growing companies, scored on hiring, vehicles, revenue, and headcount |
| Reachability             | Companies with a good online presence and contact details                  |
| Risk companies exclusion | Remove companies with risk signals from the results                        |

**Risk companies** include: bankruptcy, insolvency proceedings, liquidation, suspended trade license, unreliable VAT payer, likely straw man (nominee director), registered at an address used by shell companies, risk through a connected company, or a likely risky website.

#### Industry

Target a specific industry or type of offer.

| Filter                 | What it is for                                                                 |
| ---------------------- | ------------------------------------------------------------------------------ |
| NACE business category | Classification by industry (manufacturing, services, retail...)                |
| Self-declared category | A more accurate alternative to NACE, based on what the company actually offers |
| Import / Export        | Companies involved in international trade                                      |

**NACE business category** is the official code assigned when a company is registered. The company chooses it itself, and it may not match what the company really does. **Self-declared category** is based on what the company says about itself on its website and other portals. It is more accurate, but it needs a matched website. It is most useful for companies in services, IT, and trade.

#### Labels & Segments

Work with your existing lists of companies and saved segments.

| Filter                  | What it is for                                                      |
| ----------------------- | ------------------------------------------------------------------- |
| My labels               | Include companies with a specific label                             |
| My labels (excluded)    | Remove existing customers or companies you have already contacted   |
| Magic labels            | Ready-made segments in Prospector (family businesses, exporters...) |
| Magic labels (excluded) | Exclude the companies in a ready-made segment                       |
| Companies with note     | Only companies you have saved a note for                            |
| Segments                | Include the companies from another segment you saved earlier        |
| Segments (excluded)     | Exclude the companies from another segment you saved earlier        |

#### Contacts and Roles

Target decision-making levels directly. The filters are in two parts: the first two are under **Company contacts**, the other five under **Personal contacts**.

| Filter                                 | What it is for                                                                    |
| -------------------------------------- | --------------------------------------------------------------------------------- |
| Available contacts (Company contacts)  | Whether a company phone or company e-mail is available                            |
| Web and socials                        | Whether the company has a LinkedIn, Facebook, or X profile, or its own website    |
| Number of contacts                     | A rough indicator of the size of a specific team                                  |
| Department and role                    | IT team, sales, marketing, HR; CEO, CFO, Head of Sales...                         |
| Contact source                         | Where the contact comes from: the company website or LinkedIn                     |
| Available contacts (Personal contacts) | Whether a personal contact has a phone number, email address, or LinkedIn profile |
| Last contact check                     | How up to date the contact details are                                            |

#### Keywords

Full-text search across company data. Under **Search within**, it searches four sources: **Company Name**, **Company Description**, **Company Headquarters Address**, and **Company Website**. You can set the condition to **Match all words** or **Match any words**.

#### Finance

For detailed financial analysis of companies.

| Filter                            | What it is for                                                                |
| --------------------------------- | ----------------------------------------------------------------------------- |
| Financial statements              | Companies with financial statements available in the database                 |
| Banks                             | Filter by the company's bank                                                  |
| Revenue growth                    | Fast-growing companies                                                        |
| Net Profit Margin (in %)          | Companies with enough funds to invest                                         |
| Earnings (in Mio. CZK)            | The company's absolute profit                                                 |
| EBIT margin (%)                   | Operating profitability                                                       |
| Value added ratio                 | A higher value points to consulting, technology, or design companies          |
| Personnel cost                    | A rough indicator of the size and structure of payroll costs                  |
| Capital intensity                 | How much of the business is tied up in assets                                 |
| Registred capital (in CZK th)     | Registered capital as entered in the Commercial Register                      |
| Balance Sheet Total (in Mio. CZK) | An alternative way to measure size when revenue data is missing               |
| Verified VAT payer                | Verified companies, usually with revenue above the VAT registration threshold |

#### Ownership Structure

| Filter                 | What it is for                                    |
| ---------------------- | ------------------------------------------------- |
| Internationally owned  | Companies with a foreign owner's share            |
| Individually owned     | Companies owned by an individual                  |
| Owner known            | Companies whose ownership structure can be traced |
| Number of known owners | Companies with one or more owners                 |

#### Premises

| Filter                       | What it is for                                                                                                                                   |
| ---------------------------- | ------------------------------------------------------------------------------------------------------------------------------------------------ |
| Address of business premises | Where the company physically operates (even if its headquarters are elsewhere)                                                                   |
| Number of business premises  | Companies with several branches or shops                                                                                                         |
| Business premises category   | Type of premises by focus, for example shops, services and crafts, wholesale and manufacturing, auto-moto, restaurants and hospitality, and more |

#### Vehicles

For the automotive and leasing segment.

| Filter                                    | What it is for                                                   |
| ----------------------------------------- | ---------------------------------------------------------------- |
| Number of vehicles                        | Companies with a large fleet, suitable for fleet management      |
| Ownership & operation                     | Whether the company operates or owns the vehicle                 |
| Start date of current operation/ownership | Since when the company has operated or owned the vehicle         |
| 1st registration date                     | Age of the vehicle                                               |
| Purchase condition                        | New or used                                                      |
| Vehicle category                          | Passenger cars, trucks, trailers, motorcycles, and more          |
| Make and model                            | Single-brand fleets, suitable for servicing or fleet renewal     |
| Vehicle type                              | A more specific vehicle category                                 |
| Fuel                                      | Electric, CNG, LPG, hybrid vehicles                              |
| Last known mileage                        | Vehicles approaching high mileage: a good moment for a new offer |
| Vehicle attributes                        | Specific properties or states of the vehicle                     |

#### Signals

Find companies at the right moment.

| Filter                    | What it is for                                                                                                                                                                              |
| ------------------------- | ------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| Signals category          | Management change, change in company premises, bank account changes, company anniversary, financial publication, change in financial health, insolvency, open jobs, media mention, and more |
| Signals keywords          | Narrow the results, for example "marketing" for a management change                                                                                                                         |
| The age of company signal | Only recent signals (the last N days)                                                                                                                                                       |

**Example:** Do you follow IT tenders? Set **Signals category** to **Tenders and subsidies** and add the keyword "software". Prospector then shows the companies that are running a tender right now.

#### Technology

Find out which technologies a company uses.

| Filter       | What it is for                                                     |
| ------------ | ------------------------------------------------------------------ |
| Technologies | SAP, Shopify, Google Analytics, CNC machines, Pohoda, Fakturoid... |

For companies with outdated technology, a migration offer makes sense. Companies with premium systems (SAP, Oracle) usually have a larger budget.

#### Hiring

Job ads are a direct signal of a company's needs and strategy.

| Filter                           | What it is for                                                              |
| -------------------------------- | --------------------------------------------------------------------------- |
| Open job categories              | Companies hiring for IT, sales, marketing, HR, logistics...                 |
| Number of open jobs              | Companies hiring on a large scale are probably growing or changing strategy |
| Job title                        | A specific role, for example "sales representative" or "CTO"                |
| The age of the job advertisement | How long the company has been advertising the position                      |

**Example:** Do you sell HR software? Look for companies that are currently advertising for an HR specialist. That is the moment when HR is a current priority for them.

#### E-Commerce

For companies that sell online.

| Filter                    | What it is for                                                               |
| ------------------------- | ---------------------------------------------------------------------------- |
| Number of e-shops         | Companies with several e-shops are more advanced players in the market       |
| Product count             | The size of the e-shop's product range                                       |
| Organic search traffic    | Companies with high traffic usually invest in SEO, UX, and cloud services    |
| Order by country rank     | Top N e-shops, probably looking for international expansion or new solutions |
| Rating                    | The e-shop's average customer rating                                         |
| Paid keywords (GoogleAds) | Companies actively advertising in search                                     |
| Technology                | E-shop platform: Shoptet, Shopsys, WooCommerce, Magento...                   |
| Payment method            | Payment methods the e-shop offers                                            |
| Delivery method           | Carriers and delivery methods the e-shop offers                              |

### How to save a segment

As soon as you add at least one filter, the **Save segment** button appears at the end of the bar with the filters you applied. Click it and name the segment. The segment is saved to **Segments** in the left menu. Each time you open it, the results update automatically with companies that newly meet your criteria.

You can manage a saved segment from the **⋮** menu next to its name:

* **Duplicate:** create a copy of the segment as the basis for a new one.
* **Rename:** change the name of the segment.
* **Share:** share the segment with colleagues.
* **View Detail:** open the segment settings.
* **Delete:** permanently remove the segment.

### How to share a segment with colleagues

You can share a segment in two ways: with the **Share** button in the top right corner while the segment is open, or from the **⋮** menu next to the segment name. Colleagues from the same organization then see the segment in Segments and can work with it.

### How to set up automatic notifications for new companies

You can turn on notifications for any segment with the bell icon next to its name. There are two types: **New company notifications** (when a new company matches your filters) and **New signal notifications** (when a signal you follow appears for companies in the segment). For new signal notifications, you also need to choose which types of signals to follow: click **Select signals to follow** on the **Notifications** tab.

### Tips for combining filters

* **New business opportunities:** Date of company establishment 1-3 years + Activity (active) + your industry. These are new companies that are still building their supplier network.
* **Excluding existing customers:** My labels (excluded) set to a label such as "My customers".
* **The right moment to get in touch:** Signals category set to Management change or Tenders and subsidies, plus Signals keywords to narrow it down.
* **Companies with a budget:** Revenue above X + a positive EBIT margin (%) + Company contacts.
* **Growing companies:** Growth (high) + hiring for sales positions.
